MULLOY PROPERTY MANAGEMENT SERVICES
FINANCIAL: Maintain accounts receivable/payable, monthly/annual dues collection, late fee assessment, NSF fees, transfer of operating fund/reserve fund, owner reimbursements, monthly financial reports to Boards with operating and cash flow statements, account balances, current and year-to-date delinquencies, monthly operating statements, year-end operating statements, balance sheets, use Peachtree accounting software, transfers between operating funds and reserve funds, handle homeowner reimbursements, file liens and develop an annual operating budget.
INSURANCE: Coordinate with insurance agents, file loss claims, follow up insurance documentation, coordinate insurance selection, maintain up to date homeowner insurance policies when applicable and enforce governing documents as they pertain to insurance.
MAINTENANCE: Supervise maintenance work via a web based maintenance reporting system, deal with contractors/engineers to obtain bids, review maintenance invoices and provide emergency maintenance with on call service 7 days a week 24 hours a day.
LEGAL: Recommend an attorney to coordinate corporate reports, file liens, and provide opinions on enforcement of governing documents, litigation, provide information/documentation, depositions and consultation as necessary.
ENFORCEMENT OF GOVERNING DOCUMENTS: Review and record written and verbal complaints, write and send violation letters, send warning letters, inform homeowners of impending fines and file/document all responses from homeowners. Most governing documents are posted on our web site at www.mulloyproperties.com, enabling homeowner’s convenient access.
FILE MAINTENANCE: Maintain owner files, contractor files, owner insurance files (when applicable), invoices paid/receipts, violation letters and current owner master list.
COMMUNICATIONS: A Mulloy Property Manager will attend four quarterly Board meetings and one Annual Board of Directors meeting. A Mulloy Property manager will oversee community mailings, create and distribute memos when necessary, return emails and phone calls in a timely manner, consult with Board members, prepare agendas, distribute financial reports at Board meetings and update addresses and phone lists on a regular basis. Attendance at additional meetings may be negotiated.
A full service property management company should oversee all association business functions, coordinate maintenance, be familiar with local and national compliance codes, give guidance and direction to Boards, give appropriate financial service, maintain files and accurate records, distribute information to homeowners, outsource tax preparation and promote community relations.
